The successful candidate will play a crucial role in overseeing day-to-day administrative functions, ensuring the smooth operation of our office, and supporting various departments. The ideal candidate should have a minimum of 7 years of relevant administrative experience.
Responsibilities:
- Office Management:
- Oversee general office operations and ensure a well-organized and efficient working environment.
- Manage office supplies, equipment, and facilities, coordinating maintenance and repairs as needed.
- Calendar and Schedule Management:
- Coordinate and schedule meetings, appointments, and events for executives and team members.
- Manage calendars, ensuring timely reminders and coordination of activities.
- Communication and Correspondence:
- Handle incoming and outgoing communications, including emails, phone calls, and official correspondence.
- Draft and proofread documents, reports, and presentations.
- Travel Coordination:
- Coordinate travel arrangements for employees, including flight bookings, hotel reservations, and travel itineraries.
- Ensure travel compliance with company policies.
- Event Planning:
- Assist in planning and organizing company events, conferences, and team-building activities.
- Coordinate logistics and liaise with vendors as necessary.
- Record Keeping and Documentation:
- Maintain accurate and organized records, files, and databases.
- Assist in document management and version control.
- Financial Administration:
- Assist in processing invoices, expense reports, and financial documentation.
- Collaborate with the finance department for budget tracking and reporting.
- Human Resources Support:
- Assist in HR-related tasks, including onboarding new employees and maintaining personnel records.
- Support employee engagement initiatives.
Qualifications:
- Bachelor's degree in Business Administration, Management, or related field.
- 7+ years of proven experience in administrative roles.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Detail-oriented with a high level of accuracy.
